Who we are

Village is a household management service for busy families, operated by Village AI Inc., a corporation incorporated federally under the Canada Business Corporations Act. You can reach us at info@villageai.ca.

Village combines software with real people: AI helps us organise and draft, and trained Village assistants do the work of running tasks for your household. This policy explains how that affects your information. It applies to the Village application at app.villageai.ca and to our website at villageai.ca.

What we collect

Information you give us on our website.

If you join our waitlist or contact us through villageai.ca, we collect the details you enter, such as your name and email address. We use them only to contact you about Village.

Information you give us directly.

When you create a Village account we collect your name, email address, and the details you choose to share about your household — the people in it, their schedules, preferences, and the tasks you ask Village to help with. What you tell Village is what Village knows; we do not buy information about you from anyone else.

Account logins you choose to share.

Some tasks, such as registering a child for a camp, can only be done through your own accounts with other services. If you ask us to do one of these tasks, we use only the login details you choose to share with us for that purpose, and only to complete the tasks you have asked for.

Information from your Google Calendar, if you connect it.

Connecting your Google Calendar is optional. Village works without it. If you choose to connect it, Village requests read-only access to your calendars and reads: event titles, descriptions, dates, times and durations, locations, recurrence patterns, attendee names and email addresses, and your calendar names and time zones.

Village requests the following Google API scope:

https://www.googleapis.com/auth/calendar.readonly — see and download any calendar you can access

This is a read-only permission. Village cannot create, change, or delete any event on your calendar, and cannot share your calendars with anyone. We request read-only access deliberately, because reading is all Village needs to do its job.

Information collected automatically.

Standard technical information generated when you use our website or application: IP address, browser and device type, pages viewed, and error diagnostics. We use this to keep the service running and secure.

Why we use your Google Calendar data

Village reads your calendar for one purpose: to understand what your household has already committed to, so we can help you plan around it. Your calendar events appear in Village alongside the rest of your household's information, and Village uses them to work out what needs doing, when, and what is likely to collide.

We do not use your calendar data for advertising. We do not sell it. We do not use it for any purpose unrelated to the features described above.

Who can see your information

Village is delivered by people as well as software, so we want to be clear about who sees what.

Your Village assistant.

The household details you share with us, and the tasks you ask for, are seen by the Village assistant who looks after your household and by the small team that supports them. They use this information only to do the work you ask for, to check AI-drafted suggestions before they reach you, and to suggest things you may want help with. Everyone with this access is required to keep your information confidential.

Your Google Calendar data.

Village staff do not view the calendar data Village reads from Google unless you have agreed to it. Before an assistant can see your calendar events, we ask for your agreement in the app, and you can withdraw it at any time. Otherwise, staff see calendar data only where it is necessary to investigate a security incident or abuse of the service, where we are required to by law, or where it has been aggregated so that individual users cannot be identified and is used for internal operations such as measuring how the service performs.

Other households.

Your household information is not visible to other Village members.

How we share your information

We share information only with the service providers we need to operate Village, and only for that purpose. Each is named below.

  • Anthropic PBC — Village uses Anthropic's Claude models to generate its suggestions and to power its conversational features. To do this, relevant portions of your household information, including calendar events, are sent to Anthropic's API at the moment a response is generated. Anthropic processes this data on our behalf under its commercial API terms. Under those terms, Anthropic does not use inputs or outputs from its commercial products to train its models, and deletes them on a limited retention schedule. Content flagged by Anthropic's automated safety systems as potentially violating its usage policy may be retained longer and reviewed by authorized Anthropic personnel for that purpose.
  • Supabase — database, authentication, and file storage for the Village application. Your Village data, including calendar data Village has read, is stored here.
  • Netlify — application hosting and content delivery.
  • Lovable — hosting for our website, villageai.ca.
  • Formspree — collects and stores submissions from the forms on our website, such as our waitlist.
  • Resend — transactional email, such as sign-in links and notifications.
  • Twilio — text messaging, if you communicate with Village by text.

We may also disclose information where we are required to by law, or to protect the safety of our users or the integrity of the service.

We do not sell your information, and we do not share it with advertising platforms, data brokers, or information resellers.

Where your information is stored

Village is a Canadian company. The household information you share in the Village application — including anything Village reads from your calendar — is stored in Canada, in a data centre in Montreal.

Some parts of the service run outside Canada, and we would rather say so plainly than bury it.

Our AI provider, Anthropic, processes data in the United States. When Village produces a suggestion, the relevant household information is sent there and the answer comes back. It is not stored there beyond what is described above.

Our email provider, Resend, and our text-messaging provider, Twilio, process messages in the United States. Information you submit through the forms on our website, such as our waitlist, is collected and stored by Formspree in the United States, and our website is hosted by Lovable. Parts of our website and application are also delivered through a global content network, as is normal for any website.

While information is outside Canada it is subject to the laws of the country where it is held, including lawful access by courts and government authorities there. We use service providers who commit to protecting your information, but we cannot exclude the operation of foreign law. If this matters to you, please take it into account before using Village.

Artificial intelligence and your data

This deserves to be said plainly, because it is the question families ask most.

Village uses AI models to help organise information and draft suggestions, which our assistants review. Your data is not used to train any AI model. That applies to Village and to Anthropic, our AI provider. Your calendar events, your household details, and your conversations with Village are used to provide the service to you, and for nothing else.

Where Village builds a picture of your household — learning your routines so its suggestions get better — that exists for your household alone and is not used to serve anyone else.

How we store and protect your information

Your information is transmitted over encrypted connections (HTTPS/TLS) and is encrypted at rest in our database. Access to production systems is restricted to the small number of people who need it, and is protected by multi-factor authentication. Credentials and access tokens are stored in an encrypted secrets store, never in application code. Account logins you share with us for tasks are kept in a secure password manager and are never stored in our application database.

How long we keep it

We keep waitlist and contact details until Village is available to you or you ask us to remove them.

We keep your household and calendar information for as long as your Village account is active.

If you disconnect your Google Calendar, Village stops reading it immediately and deletes the calendar data it has stored within 30 days.

If you close your Village account, we delete your information within 30 days, except where we are required to retain records for legal or accounting reasons. Backups are purged on a rolling 90-day cycle.

Your choices and your rights

Disconnecting Google Calendar.

You can disconnect your calendar at any time from your account settings in Village. You can also revoke Village's access directly through your Google Account at https://myaccount.google.com/permissions. Either action ends our access immediately.

Access, correction and deletion.

You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Write to info@villageai.ca and we will respond within 30 days.

Canadian privacy law.

Village handles personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. If you are not satisfied with how we have handled your information, you have the right to complain to the Office of the Privacy Commissioner of Canada.

Children

Village is a service for households, and the information you share with us will often include details about your children — their schedules, their activities, their needs. We treat that information with the same care as any other household information, and it is subject to everything in this policy.

Village accounts are for adults. The service is not directed at children and children may not create their own accounts.

Google API Services User Data Policy

Village's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.

Changes to this policy

If we change this policy in a way that materially affects how we handle your information, we will tell you by email and give you notice before the change takes effect. The date at the top of this page shows when it was last revised.
